This Privacy Policy describes how the volunteer organizers of the Windsong Online Neighborhood (“Windsong,” “we,” “us,” or “our”) collect, use, store, and share information on https://wndsng.com (the “Site”).

Windsong is a volunteer neighborhood community in Trussville, Alabama. There is no official homeowners association. The Site is a private resident directory and coordination tool. It is not a store, and we do not sell personal information.

Who we are

The Site is operated by volunteer Windsong neighborhood organizers for residents of the Windsong neighborhood in Trussville, Alabama.

Privacy questions and data requests:


If the organizers later form a nonprofit or other legal entity, this policy should be updated with that entity’s legal name.

What this policy covers

This policy applies to public visitors, people who submit the New Resident form, verified residents who log in to the Dashboard and other member features, and anyone who emails us or comments on the Site.

It does not control the separate Windsong Neighborhood Facebook Group. That group lives on Meta’s platform and follows Meta’s terms and privacy policy.

Information we collect

Resident registration

When you register at https://wndsng.com/new-resident/, we collect the information you submit, which may include:

  • First name and last name
  • Windsong home address, selected from the neighborhood address list
  • Phone number and email address
  • Volunteer status and volunteer hours
  • Notes or comments you choose to add
  • Your confirmation that you are a residing Windsong homeowner at the address you selected


We use this information to confirm you live in Windsong and to maintain the private neighborhood directory.

Accounts and login

If you have an account on the Site, we store the personal information in your user profile, including username, email, display name, and password (stored as a secure hash, not as plain text).

When you visit the login page, we set a temporary cookie to determine whether your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we also set cookies to save your login information and screen display choices. Login cookies last for two days, and screen-options cookies last for a year. If you select “Remember Me,” your login persists for two weeks. If you log out, the login cookies are removed.

If you edit or publish an article, an additional cookie may be saved in your browser. It includes no personal data and simply indicates the post ID of the article you just edited. It expires after one day.

If you request a password reset, your IP address will be included in the reset email.

Social login (Google and Facebook)

The Site offers “Continue with Google.” Facebook Login may be added the same way. If you use either button:

  • You authenticate with Google or Meta
  • If you approve the request, that company sends us your name, the email on that account, a unique user ID, and a profile photo if one is provided
  • We use that data only to find or link your Windsong account and keep you signed in


We request only basic profile and email permission. We do not request your friend list, birthday, location history, or other sensitive social-network data.

Social login is intended as a convenience for verified residents. It is not meant to let the general public skip address verification and enter the private directory.

Google and Meta are independent companies. See Google’s Privacy Policy and Meta’s Privacy Policy.

You can disconnect social login by emailing copilot@wndsng.com. That does not delete your Google or Facebook account. You can also remove Site access from your Google or Facebook security / apps settings.

Comments

When visitors leave comments on the Site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact and email

If you write us through Get In Touch, copilot@wndsng.com, or another Site form, we collect the information you include so we can respond. If you subscribe to neighborhood email updates, we store the address you give us and any preferences attached to that subscription.

Information collected automatically

The Site may automatically collect IP address, browser and device type, pages visited, dates and times of visits, and referring page. Cookies and similar technologies are used to keep you logged in, protect forms, and operate the Site.

Event pages may load Google Maps so locations can be shown. Google may collect technical information under its own policy when that map loads.

Embedded content from other websites

Pages on this Site may include embedded content (for example videos, images, maps, or posts). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

Resident directory information is intended for Windsong organizers, trusted volunteers, and other verified residents as needed to coordinate neighborhood projects, events, volunteering, and internal communications. Public visitors who are not logged in should not see the private directory.

We may also share information with:

  • Service providers that host or power the Site, including web hosting, WordPress, form tools, email delivery, and social-login providers
  • Google, if you use Google Sign-In or if a page loads Google Maps
  • Meta, if you use Facebook Login
  • An automated spam-detection service, if visitor comments are checked for spam
  • Authorities when we reasonably believe disclosure is required by law or needed to protect someone’s safety


We do not sell personal information. We do not share the resident directory with marketers, data brokers, or the general public.

Anything you post in the public Facebook Group is visible according to that group’s settings and Meta’s rules, not this policy.

How we use information

We use personal information to:

  • Verify that a registrant lives at a Windsong address
  • Create and maintain a resident record and Site account
  • Provide access to the Dashboard, directory, events, and related member tools
  • Let verified residents sign in with a password or with Google or Facebook
  • Coordinate neighborhood projects, volunteering, events, and communications
  • Detect spam, keep the Site secure, and respond to questions
  • Send neighborhood updates a verified resident would reasonably expect, or newsletters if you subscribe


We do not use directory information to sell products or to run third-party advertising.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we store the personal information they provide in their user profile and, for residents, in the neighborhood directory. We keep resident records while you appear to live in Windsong and the directory remains in use, and for a reasonable time after you move or ask to be removed, in case we need to resolve a neighborhood or security issue.

Technical and login logs are kept only as long as needed for security and operations.

What rights you have over your data

If you have an account on this Site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Registered users can also see, edit, or delete much of their personal information in their profile at any time (except they cannot change their username). Website administrators can see and edit that information.

You may also ask us to correct your resident-directory details, disconnect Google or Facebook from your login, or unsubscribe from optional email updates.

Send requests to copilot@wndsng.com from the address we have on file when possible, and include your name and Windsong street address so we can find the right record. Because this is a private neighborhood directory, we may need to verify that the request comes from the resident before changing or deleting it.

How to request deletion of data received from Facebook

If Facebook Login is enabled and you used it on this Site, email copilot@wndsng.com with the subject line “Facebook data deletion request.” Include the name and email on your Windsong account and, if different, the email on the Facebook account you used to sign in.

We will disconnect Facebook from your Windsong login and delete the Facebook user ID and related social-login data we stored. If you also want your entire Windsong resident record removed, say so in the same email.

This request does not delete your Facebook account. You can also remove Windsong’s access from Facebook Settings → Apps and Websites.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

If you use Google Sign-In or Facebook Login, or if a page loads Google Maps or other embedded content, limited information is sent to those companies as described above and in their own policies.

The Site is operated from the United States. If you access it from another country, your information is processed in the United States.

Cookies

If you leave a comment on our Site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies last for one year.

Login and admin cookies work as described in “Accounts and login” above.

If you use Google or Facebook login, those companies may set their own cookies when their login windows load.

You can block cookies in your browser. Some Site features, especially login, may then stop working.

Children

The Site is directed at adult Windsong homeowners and adult residents who register for the directory. We do not knowingly collect personal information from children under 13. If you believe a child submitted information, email copilot@wndsng.com and we will delete it.

How we protect information

The Site is served over HTTPS. Member areas require a login. Information is intended for organizers, volunteers, and verified residents only.

No website is perfectly secure. Use a unique password if you create one, and tell us promptly if you think your account was misused. Do not put Social Security numbers, payment-card numbers, or other highly sensitive information in form comment fields.

Links to other sites

The Site links to third parties such as the City of Trussville, Trussville City Schools, and the Windsong Facebook Group. Their privacy practices are their own.

Changes to this policy

We may update this Privacy Policy when the Site or the law changes. The updated version will be posted on this page with a new effective date. Material changes that affect how we use resident information will also be noted to logged-in residents when practical.
